SARS releases e@syFile Employer 8.0.2 as payroll teams begin interim reconciliation season

Payroll administrators using e@syFile Employer must install a new version released alongside the 2026 EMP501 filing season, with SARS warning that upgrading from version 8.0.1 requires a full uninstall and reinstall.

South African payroll administrators and accounting practices using SARS e@syFile Employer have a software update to manage at the same time as the 2026 interim PAYE reconciliation season begins.

SARS published release information on 21 September showing that the e@syFile Employer application has moved from version 8.0.1 to 8.0.2.

Importantly, SARS says the upgrade requires users to perform a full uninstall and reinstall using the version available from eFiling rather than relying on a simple in-application update.

The timing matters because the employer interim filing period also opened on 21 September and runs until 31 October.

Upgrade should form part of filing preparation

e@syFile Employer is widely used to prepare, validate and submit employee tax certificates and employer reconciliations.

A software-version issue immediately before filing can therefore disrupt an otherwise completed payroll reconciliation.

Accounting practices managing payroll for several clients may be particularly exposed if upgrades are left until the day submissions are scheduled.

SARS had previously advised employers that an updated build would be made available for the interim reconciliation season and encouraged payroll administrators to use the latest version.

The release of version 8.0.2 now makes that operational requirement immediate.

New functionality supports reconciliation monitoring

The release includes several features connected directly to payroll administration.

SARS says an ITReg indicator has been added to Employee Admin, allowing additional information relating to employee income-tax registration to be captured.

A new button has also been added to the reconciliation screen so users can log a Pending Submission query directly from the application.

The Reconciliation Status Dashboard also gains an option enabling users to generate an EMP601, while a System Info tab has been introduced under the Utilities menu.

These features are notable because the current filing cycle places strong emphasis on valid employee tax numbers and visibility over the status of employer reconciliations.

Income-tax numbers are a recurring payroll-control issue

SARS has reiterated that employee income-tax reference numbers are mandatory for employer reconciliation submissions.

Employers are expected to resolve missing or invalid tax numbers before completing the EMP501 process.

The addition of more IT registration functionality to e@syFile therefore reflects a recurring source of payroll exceptions.

For accountants, the lesson is that employee master data is part of tax compliance.

A payroll can calculate salaries correctly while still failing SARS validation because employee identity or registration information is incomplete.

Firms should protect data before changing software

Whenever payroll or tax-compliance software requires an uninstall and reinstall, accounting teams should approach the process as a controlled system change.

Businesses should ensure that relevant payroll exports, reconciliation files and working papers are appropriately backed up in accordance with their normal IT and data-governance procedures before changing installations.

Users should also avoid scheduling the upgrade immediately before a critical filing without allowing time to confirm that the application opens correctly and that expected payroll information remains accessible.

Where accounting practices operate e@syFile on shared or centrally managed computers, IT administrators may need to be involved.

Software changes can create deadline risk

Tax deadlines frequently expose weaknesses in accounting technology.

A payroll may be fully reconciled in spreadsheet working papers, but the statutory submission still depends on compatible software, the correct file format, valid certificates and a successful SARS transmission.

The 2026 interim season adds another reason not to delay filing.

Employers need to reconcile payroll information covering 1 March to 31 August 2026 and submit by 31 October.

A technical problem discovered on the deadline could therefore turn into a compliance problem.

Why it matters

For many businesses, tax-compliance software is infrastructure.

The release of e@syFile Employer 8.0.2 may look like a technical update, but for accountants it has a direct effect on the ability to complete statutory payroll work.

The requirement for a full uninstall and reinstall is particularly important for firms running the application across several machines or serving multiple payroll clients.

Accounting practices should verify their installed version now, perform the update in a controlled manner and test the application before finalising large submission batches.

With the EMP501 filing window already open, software readiness and payroll reconciliation are now part of the same compliance project.
